Job Description (EN)

The Site Administrator works closely with the Community Manager as well as the Maintenance and Cleaning team for effective site operations to ensure the performance goals for the community are met. The Administrator assists the Manager in handling all daily property management requirements such as collecting receivables and coordinating with contractors and addresses any homeowner inquiries or concerns.

 

Responsibilities

Tenant Duties:

  • Strive for as close as possible to 100% occupancy in the community
  • Communicate with homeowners about leases, rent deferrals, and lease termination, as well as satisfactorily resolve any complaints
  • Meet with relevant associations including tenant and regulatory bodies
  • Interview prospective tenants, represent CAPREIT in selling homes and renting lots
  • Responsible for completion of tenant lease process, including processing and filing of applications, bringing applications through the approval process, and creating the lease
  • Aid in the organization and implementation of tenant appreciation and social events, such as BBQs, off site trips, Bingo nights, etc.

 General/Office:

  • Assisting in taking work orders and communicating work needed to maintenance team
  • Deliver rent payments to the bank, entering cheques into SAP
  • Assist in detailing requirements for budgeting process
  • Review accounts receivable and generate weekly AR reports
  • Receiver follow up and rent collection
  • Maintain an awareness of local economic and housing market conditions
  • Maintain a safe working environment for all employees
  • Follow up with any designated “on-call” personnel about incoming calls

 Community Duties:

  • Work with contractors/vendors to ensure all jobs are complete
  • Review work orders for additions to homes
  • Inspect common areas and all infrastructure
  • Filing fire safety documents and checking all fire safety systems bi-annually or when required

Qualifications

  • 2 years’ experience in customer service or administration
  • Proficiency in English and French is required
  • Previous experience in residential property management a strong asset
  • Computer and software proficiency (primarily Microsoft Word, Excel, Outlook, Internet and SAP)
  • Demonstrated ability to make decisions, exercise good judgment, and maintain confidentiality
  • Ability to demonstrate a responsible and positive attitude
  • A genuine interest in customer service, helping and working with homeowners
  • Ability to communicate well and establish relationships with colleagues and residents
  • Effective and accurate communicator, written and verbal
